This Privacy Policy explains how CommonSight (“CommonSight,” “we,” “us,” or “our”) collects, uses, shares, and protects information about you when you use our property and construction management platform, including our website, web application, and related services (collectively, the “Service”). By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect the following categories of information:

  • Account information. Your name, email address, password, role (such as developer, builder, vendor, homeowner, or HOA management), and the organization you belong to.
  • Organization and profile details. Company name, business address, phone number, trade specialty, coverage regions and markets, and similar details you provide during sign-up or in your account settings.
  • Property and project data. Information you enter about lots, properties, projects, tasks, checklists, warranty claims, issues, files, photos, notes, and messages exchanged through the Service.
  • Usage data. Log data such as IP address, browser type, device information, pages viewed, and the dates and times of your activity.
  • Cookies and similar technologies. Information collected through cookies and local storage to keep you signed in, remember your preferences, and operate the Service. See “Cookies and Tracking” below.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Service;
  • Create and manage your account and authenticate you;
  • Enable collaboration between developers, builders, vendors, homeowners, and HOA management within your organization and projects;
  • Send transactional communications, such as confirmations, notifications, and security alerts;
  • Process subscriptions and billing, and prevent fraud or abuse;
  • Respond to your requests and provide customer support; and
  • Comply with legal obligations and enforce our terms.

3. How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

  • Within your organization and projects. Data you submit is visible to other authorized users who collaborate on the same lots, properties, projects, or warranty claims, according to their role and permissions.
  • Service providers. We share information with vendors who perform services on our behalf, such as cloud hosting, authentication, database, and mapping providers, under contractual confidentiality obligations.
  • Legal and safety. We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of CommonSight, our users, or others.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.

4. Third-Party Services

The Service relies on trusted third-party providers to function. These include cloud infrastructure and authentication services (for account management and secure sign-in) and mapping services (to display interactive lot and property maps). These providers process data on our behalf and are bound by their own privacy and security commitments.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we take reasonable steps to delete or anonymize it.

6. Data Security

We implement reasonable technical and organizational measures designed to protect your information against unauthorized access, loss, misuse, or alteration, including encryption in transit and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Cookies and Tracking

We use cookies and similar technologies that are necessary to operate the Service (for example, to keep you signed in and remember your active module and preferences). Where required, we present a cookie notice and obtain your consent. You can control cookies through your browser settings, though disabling some cookies may affect how the Service functions.

9. Children's Privacy

The Service is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.

10. International Data Transfers

Your information may be processed and stored in countries other than your own. Where we transfer information across borders, we take steps to ensure it receives an adequate level of protection consistent with applicable law.
